Welcome to Zynito (“we,” “our,” “us”). We are committed to protecting your personal data and respecting your privacy in accordance with the General Data Protection Regulation (GDPR) and other applicable data protection laws.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform including our web application, mobile app (Flutter), and related services.

We do not currently have a Data Protection Officer (DPO) appointed. If our data processing activities expand to a scale that requires one under Article 37 GDPR, we will appoint and publish their contact details accordingly.

3. Information We Collect

 

3.1 Personal Data

We may collect the following personal data:

• Name
• Email address
• Phone number
• Company name
• Billing information

3.2 Usage Data

We may automatically collect:

• IP address
• Browser type and version
• Pages visited and time spent
• Time and date of visits
• Device information (including mobile device identifiers for our Flutter app)
• Push notification tokens (if you opt into notifications via our mobile app)

3.3 AI Feature Data

When you use AI powered features within the Chat section of Zynito (powered by Google Gemini), we may process:

• Chat messages or conversation text you submit to an AI feature (e.g., Summarise, Write Reply, Rewrite, Grammar, Tone, Translate)
• The instruction type associated with the AI feature you activate
• AI generated outputs returned by the Gemini service

This data is sent to Google Gemini solely to generate a response. No other app data is shared with Gemini. Please refer to Section 6 for full details.

3.4 Cookies & Tracking Technologies

We use cookies and similar tracking technologies. Our cookies fall into the following categories:

• Essential cookies – Required for the platform to function (e.g., session management). These cannot be disabled.
• Analytics cookies – Help us understand how users interact with Zynito (e.g., pages visited, feature usage). These are only set with your consent.
• Preference cookies – Remember your settings and preferences for a better experience.

You can manage or withdraw your consent for non-essential cookies at any time through your account settings or browser settings. Withdrawing consent does not affect the lawfulness of processing before withdrawal.


4. Legal Basis for Processing (GDPR)

We process your personal data under the following lawful bases as defined in Article 6 of theGDPR:

• Consent (Art. 6(1)(a)) – When you explicitly agree, such as for analytics cookies, marketing communications, or use of AI powered features.
• Contract (Art. 6(1)(b)) – To provide, manage, and maintain our services under your subscription agreement.
• Legal Obligation (Art. 6(1)(c)) – To comply with applicable laws such as tax, financial, and regulatory requirements.
• Legitimate Interests (Art. 6(1)(f)) – For purposes including fraud prevention, network and platform security, abuse detection, and internal analytics to improve our product.

We have assessed that these interests are not overridden by your rights and freedoms.

 

5. How We Use Your Data

We use your information to:

• Provide and maintain our platform and services
• Create and manage your user account
• Process payments and manage billing
• Improve and develop product features
• Power AI assisted features via Google Gemini (with your consent)
• Send transactional emails, product updates, and support communications
• Ensure platform security, detect fraud, and prevent abuse
• Comply with legal and regulatory obligations

 

6. AI-Powered Features & Google Gemini

Apple App Store Compliance Notice: Zynito uses Google Gemini, a third-party AI service, to power certain features. This section discloses what data is sent, to whom, and how it is protected.

 

6.1 What AI Features We Use

Zynito integrates Google Gemini to power the following AI features, currently available exclusively within the Chat section of the app:

• Summarise – Generates a concise summary of a chat message or conversation thread.
• Write Reply – Suggests a reply based on the context of a chat message.
• Rewrite – Rewrites your drafted message for improved clarity or structure.
• Grammar – Checks and corrects grammatical errors in your message.
• Tone – Adjusts the tone of your message (e.g., formal, friendly, concise).
• Translate – Translates a selected chat message into your chosen target language.

These features are available only in the Chat module. No AI features are currently active in other areas of Zynito such as project boards, task management, or settings.

6.2 What Data Is Sent to Google Gemini

When you use an AI powered feature in Chat, only the following data is transmitted to Google Gemini:

• The chat message or conversation text you select or submit to the AI feature
• The specific instruction associated with the feature you activate (e.g., summarise this message, fix grammar, translate to French)
• Your selected target language when using the Translate feature (e.g., French, Spanish, Tamil, Arabic)

We do not send any of the following to Google Gemini:

• Your name, email address, or account details
• Project data, task information, or files outside of the chat message you select
• Passwords, payment information, or any other sensitive personal data

6.3 User Permission

Before any personal data is transmitted to Google Gemini, we will:

• Display a clear in app disclosure explaining what data will be shared and with whom
• Request your explicit consent before activating any AI feature for the first time
• Allow you to opt out of AI features at any time through your account settings

AI features will not be activated without your explicit permission.

6.4 How Google Gemini Handles Your Data

Data sent to Google Gemini is processed by Google LLC in accordance with Google’s privacy policies and terms of service. Key points:

• Google Gemini uses your inputs to generate responses only it is not used to train Google’s AI models without your separate consent to Google’s terms.
• Google LLC implements appropriate technical and organisational security measures.

6.5 Data Retention by Google

Zynito does not store the content of your AI prompts or responses on our servers beyond the session unless you explicitly save them within the app. Google’s own data retention practices apply to data processed through their Gemini API. We encourage you to review Google’s API data usage policies for full details.

 

7. Data Sharing & Disclosure

We do not sell your personal data.

We may share your data with the following categories of recipients:

• Google LLC (Gemini AI) – To power AI features within Zynito, subject to your consent and the disclosures in Section 6.
• Cloud & infrastructure providers – Including hosting, database, and delivery services. All are bound by data processing agreements.
• Payment processors – To securely handle billing and subscription transactions.
• Analytics platforms – To understand usage patterns and improve our product (only with your consent).
• Legal authorities – When required by law, court order, or governmental authority.
• Business partners – Only where strictly necessary and in compliance with applicable data protection obligations.

All third party processors are required to implement appropriate technical and organisational measures to protect your data and provide at least the same level of protection as described in this policy.

 

8. International Data Transfers

Zynito’s primary services are hosted outside the European Economic Area (EEA). If any of your data is transferred internationally including data sent to Google Gemini we ensure that appropriate safeguards are in place, including:

• Standard Contractual Clauses (SCCs) approved by the European Commission
• Transfers to countries covered by an EU adequacy decision

9. Data Retention

We retain your personal data only for as long as necessary for the purposes set out in this policy:

• For the duration of your active account
• As required to comply with legal, tax, or regulatory obligations
• To resolve disputes or enforce our agreements

When your data is no longer required, we will securely delete or anonymise it.

 

10. Your Rights Under GDPR

As a data subject under the GDPR, you have the following rights:

• Right of Access (Art. 15) – Request a copy of the personal data we hold about you.
• Right to Rectification (Art. 16) – Correct any inaccurate or incomplete data.
• Right to Erasure (Art. 17) – Request deletion of your data (“Right to be Forgotten”), subject to legal retention requirements.
• Right to Restriction of Processing (Art. 18) – Request that we limit how we use your data.
• Right to Data Portability (Art. 20) – Receive your data in a structured, commonly used, machine readable format.
• Right to Object (Art. 21) – Object to processing based on legitimate interests or for direct marketing.
• Right to Withdraw Consent (Art. 7(3)) – Withdraw your consent at any time where processing is based on consent, including consent for AI features.

11. Data Breach Notification

In the event of a personal data breach, we will:

• Notify the relevant supervisory authority within 72 hours of becoming aware of the breach, where feasible, in accordance with Article 33 GDPR.
• Notify affected individuals without undue delay if the breach is likely to result in a high risk to their rights and freedoms, in accordance with Article 34 GDPR.
 
We maintain an internal breach register and incident response procedures to manage and mitigate any such events.
 

12. Data Security

AI powered suggestions provided by Google Gemini are advisory only they do not constitute automated decision-making that produces legal or similarly significant effects on you as defined under Article 22 GDPR. You remain in full control of all decisions within Zynito.

We do not engage in any other form of automated profiling or decision-making. If this changes in the future, we will update this policy and provide the required GDPR disclosures.

13. Automated Decision-Making & Profiling

AI powered suggestions provided by Google Gemini are advisory only they do not constitute automated decision-making that produces legal or similarly significant effects on you as defined under Article 22 GDPR. You remain in full control of all decisions within Zynito.

We do not engage in any other form of automated profiling or decision-making. If this changes in the future, we will update this policy and provide the required GDPR disclosures.

 

14. Third-Party Services & Links

Our platform may contain links to third party websites or integrate with third party services. We are not responsible for the privacy practices of those services. We encourage you to review their privacy policies before sharing any personal data.

15. Children’s Privacy

Our services are not intended for individuals under the age of 16. We do not knowingly collect or process personal data from children. If you believe we have inadvertently collected such data, please contact us at support@zynito.com and we will promptly delete it.

We may update this Privacy Policy from time to time to reflect changes in our practices, AI integrations, or applicable law. When we make material changes, we will notify you via email or a prominent notice on our platform prior to the changes taking effect. The revised “Last Updated” date at the top of this page will always reflect the most recent version.
